Linn Legal empowers business owners and families to grow and thrive by delivering smart, practical legal work on time and on budget. For a growing law firm, delivering that experience depends on more than legal expertise. It requires an operational foundation that gives attorneys and staff the right client information without forcing them to search across multiple systems.

As Linn Legal grew, the firm needed a better way to understand the complete client relationship, from the initial inquiry and referral source through consultations, communications, services, and ongoing work. The goal was not simply to install another CRM. It was to build a system that could support greater capacity while preserving the responsiveness and visibility clients expect.

The Challenge: Strong Demand, Fragmented Operations

Linn Legal was already generating business successfully, but its systems were not designed to support the next stage of growth. Client and prospect information was spread across Clio Grow, Gmail, spreadsheets, website processes, and manually maintained records. Important intake details could originate from website inquiries, phone calls, referrals, seminars, email, existing clients, or legacy systems.

That fragmentation made it difficult to get a complete view of a relationship. Linn Legal wanted employees to open one record and understand who the person was, how they found the firm, who referred them, what services they needed, whether they had been qualified, their consultation history, what communications had taken place, and what work remained outstanding.

The challenge was not generating more leads. Linn Legal already had strong inbound demand. The larger objective was operational efficiency: create enough structure and automation to serve clients well while increasing capacity. The firm needed one definitive record for its relationships and a process the team could consistently follow.

The Solution: A Single Source of Customer Truth

Revenue Ops helped Linn Legal establish Salesforce CRM as the central source of truth for leads, contacts, accounts, opportunities, activities, consultations, marketing engagement, and other client information. Instead of forcing the firm into a generic sales model, Salesforce was configured around Linn Legal’s actual intake and client journey.

The process covers initial inquiry, qualification, intake, consultation scheduling, the pre-consultation questionnaire, attorney consultation, service selection, engagement, and follow-up. Salesforce gives the team a repeatable framework for lead qualification, lead-to-opportunity conversion, opportunity ownership, consultation tracking, service information, opportunity stages, Closed Won and Closed Lost visibility, and pipeline progression.

The Gmail integration also reduced friction around communication tracking. Client email activity can be associated with CRM records, helping the team build a more complete history without relying on manual copying. This was important to adoption because the objective was not only to configure Salesforce, but to make it part of the firm’s daily operating behavior.

Turning Pipeline Activity Into Management Visibility

Linn Legal wanted more than a database. Leadership needed to understand how the firm’s business-development engine was performing.

Revenue Ops built dashboards covering leads by status and creation period, lead-to-opportunity conversion, monthly versus annual conversion performance, opportunities by stage, opportunity win rate, upcoming consultations, consultation ownership, opportunity value, and Closed Won business.

This shifted the firm from manually compiling sales information to measurable pipeline management. Leadership can use Salesforce to see where opportunities stand, what consultations are approaching, who owns the next action, and where follow-up may be needed.

Estate planning created a more specialized challenge. Linn Legal needs substantial information before an attorney consultation, including property details, marital information, business ownership, existing estate documents, planning priorities, and other client inputs.

Revenue Ops built an estate-planning questionnaire through Salesforce Account Engagement and connected the information back to Salesforce Leads and Contacts. The solution included dynamic fields based on previous answers, reCAPTCHA, a private landing page, completion notifications, dedicated questionnaire sections, and custom field mapping between Account Engagement and Salesforce.

Attorneys can now access questionnaire information from within the CRM instead of working from a disconnected form system. Revenue Ops also created UTM and Google Click ID fields to support future marketing attribution without cluttering the day-to-day user experience.

Making Relationship Marketing Measurable

Linn Legal also wanted to make better use of its existing network. The firm needed to communicate differently with clients, prospects, referral partners, seminar attendees, estate-planning leads, and former clients.

Revenue Ops implemented Account Engagement alongside Salesforce CRM to create the foundation for segmented marketing. The work included branded email templates, contact segmentation, dynamic lists, campaigns, engagement scoring, open and click tracking, opt-out handling, referral-source segmentation, and planning for automated nurture programs.

Revenue Ops also created CRM-controlled list membership, synced records into Account Engagement, identified missing and invalid email addresses, merged duplicate records, validated the audience, built segmentation logic, and configured campaign actions. The initial mailing reached the intended 19 contacts, with deliveries, opens, clicks, and unsubscribes measurable in Account Engagement.

The next evolution was to reduce manual campaign administration further through Engagement Studio. The broader progression is clear: manual lists become CRM-controlled audiences, audiences become measurable campaigns, and campaigns create the foundation for automated relationship development.

Extending Visibility Beyond the Sale

Linn Legal also did not want CRM visibility to stop when an Opportunity became Closed Won. Legal work continues through planning meetings, drafting, internal and attorney review, client review, revisions, approvals, signing, filing, and follow-up.

Revenue Ops began designing a Salesforce-connected project-management model that could transition won business into structured post-sale work. The envisioned model includes project templates, milestones, assigned tasks, due dates, dependencies, approval checkpoints, and reporting on blockers.

This expands the role of Salesforce beyond sales activity. The long-term vision is for the platform to help the firm answer a simple but important question: what did the client hire us to do, what has been completed, what remains, and why?

The Results: A Platform Built for Growth

The clearest result was user adoption. Linn Legal estimated approximately 90% adoption for properly entering new client work into Salesforce. That is significant because the project achieved behavioral adoption, not just technical implementation. Salesforce became part of how the firm operates.

By consolidating previously fragmented processes, Linn Legal also achieved an 80% reduction in its tool stack, creating a simpler technology environment and a clearer source of truth. Communication tracking became easier, legal-specific intake became centralized, pipeline reporting became measurable, and marketing became more targeted. The campaign process also helped surface and correct missing emails, invalid addresses, duplicate contacts, and inaccurate record values.

The result is 100% operational efficiency across the processes transitioned into the new Salesforce environment. Just as important, the implementation created a foundation for continued improvement. Linn Legal expanded the relationship into ongoing Revenue Ops support as the firm identified additional opportunities to extend Salesforce across its operations.

Salesforce is no longer simply Linn Legal’s CRM. It is becoming the connective layer between client acquisition, intake, communication, relationship development, and service delivery, giving the firm a single source of customer truth and a more scalable way to grow.
